Workday

To update your tax elections:

1. Under your worker profile, select the “pay” tab on the left-hand side.
2. Select the “tax elections” tab at the top of your screen. Then, choose the “update” button at the bottom of the screen

3. Enter desired changes (ex. marital status, dependents, withholdings, etc.).

4. Check the “I Agree” box at the bottom and submit.

*Non-remote workers must have a Lynchburg address as their HR address for payroll tax purposes.

To update your HR or mailing address:

1. Sign into your Liberty account at mylu.liberty.edu.
2. Click on your profile photo in the top right-hand corner.
3. Scroll down to the bottom of the page to find the Address section and select the pencil “edit” icon.
4. Enter updated information for your Human Resources address type.
5. Once all edits have been completed, select the “save changes” button at the bottom.

To update your legal name:

1. Search “Change My Legal Name” in Workday. Select the blue task.
2. Enter desired name changes.
3. Attach a current SSN card, then select the orange “submit” button at the bottom
4. This process will route to HR for final approval.

Your preferred name in Workday drives your display name in other university business systems (Outlook, Teams, etc).

To update your preferred name:

1. Search “Change My Preferred Name” in Workday. Select the blue task.
2. Uncheck the box “Use Legal Name as Preferred Name.”
3. Enter desired preferred name changes.
4. This process will route through an approval process before integrating to downstream business systems.

To change your marital status:

1. Go to your worker profile by clicking your photo on the top right corner of Workday.
2. Under your worker profile, select the “personal” tab on the left-hand side.
3. Select the “edit” icon under the Personal Information tab.
4. Enter the new marital status and date

4. Select the orange “submit” button at the bottom of the screen.

To update your profile picture in Workday:

1. Navigate to www.liberty.edu/flamespass.
2. Select the “Request Flames Pass” button.
3. Select “Change Your Photo” button.

Please allow 24-48 hours after submission for your picture to be updated in Workday.

Generally, Workday will be unavailable on Saturdays from 2–5 a.m. EST. Quarterly maintenance windows can last longer, making Workday unavailable from 2 a.m.–1 p.m. EST. These maintenance windows may impact your ability to access the system to clock in and out. Employees who are unable to access Workday during a planned maintenance window should email their time punches to their Time & Absence Approver so that they can be updated in the system.

1. Navigate to either the Apple App Store (Apple Devices) or the Google Play Store (Android Devices), search Workday, and download the Workday application.
2. If/When prompted enter these settings:
   1. Organization ID: liberty
3. Optional: Enable Face ID/Biometrics, set up a pin, and enable push notifications.

The Workday mobile application is primarily designed to support self-service tasks, such as clocking in and requesting PTO. Here are some examples of tasks that are currently available:

• • On the Mobile Home Screen, you can: 
    • Check and approve Inbox items (limited) 
    • See Notifications 
    • View Time Off Balances 
    • Request Time Off 
    • Enter Time 
    • View Payslips 
    • Access some reports and dashboards (limited) 

• • By navigating to your profile, you can: 

• • • View Benefit Elections, Beneficiaries, Dependents 
    • View and Change Contact Information 
    • View and Change Personal Information 
    • View and Change Names 
    • View and Change ID Information 
    • Request Leave of Absence 
    • View Your Worker History 

The application is primarily designed for self-service tasks. One task that is currently unavailable in the workday application the we commonly get asked about is being able to sign off on hourly employees’ time. Workday has not built this functionality into the mobile app, but it is on their roadmap to be included in a future update. HR will continue to monitor this and implement this and other beneficial updates when they are made available by Workday.

Ensure that you are including the @liberty.edu at the end of your username when you are prompted to log in.

When you first download the app you will be prompted to allow push notifications. If you allow the application to send push notifications in your device settings, Workday will send notifications immediately.  

If notifications are disabled in the Workday application, click on your profile, click on the gear in the upper right-hand corner, click on Notifications, and then toggle the Push Notifications button to on.  

Note: You made need to close and reopen the app for these changes to take effect. If you are unable to allow push notifications in the Workday application, check your device settings to ensure you are allowing notifications. 

To disable all push notifications, click on your profile, click on the gear in the upper right-hand corner, click on Notifications, and then toggle the Push Notifications button to off or turn off notifications in your device settings. 

If you want to receive some push notifications you can update this directly from the mobile application by clicking on your profile clicking on Global Preferences, scrolling to the bottom, clicking on the Channel section, and then clicking on Mobile Push Notification and adjusting preferences and you would like.  

You can also adjust this on your desktop by clicking on your picture, clicking My Account, clicking Change Preferences, scrolling down to the Channel section, clicking the Mobile Push Notification tab, and adjusting as necessary.  

Options for Mobile Push Notifications are Mute or Immediate.
